    VoltWolf — Privacy Policy

    This Privacy Policy explains how VoltWolf collects, uses, shares and protects personal data. It applies to data we collect from visitors to myvoltwolf.com, from our clients, and from the data subjects of those clients where we act as a processor on their behalf. VoltWolf is a product of OrderWolf Limited and operates in alignment with the EU GDPR, the Irish Data Protection Act 2018 and the ePrivacy Regulations.

    1. Who we are

    VoltWolf is a product and trading name of OrderWolf Limited, a private company limited by shares incorporated in Ireland under company number 813708, registered office Grange Beg, Dunlavin, Co. Kildare, W91 N2X7, Ireland. References to "VoltWolf", "we", "us" or "our" mean this entity. Data protection enquiries: mark@myorderwolf.com.

    2. The two roles we operate in

    • Data Controller — for personal data about visitors, prospects, clients, and our own staff and contractors. We decide what is collected and why.
    • Data Processor — for personal data we process on behalf of clients (e.g. the contacts, leads and customer records held in the platforms we provision and run for them). The client remains the Controller; we act on their documented instructions.

    Where we act as Processor, our obligations are set out in the Data Processing Agreement we enter into with each client.

    3. The personal data we collect

    3.1 Data you give us directly — Contact data (name, business name, email, phone, postal address); Account data (logins and preferences for platforms we provision); Communication data (messages, calls, emails); Billing data (billing contact, invoice address, VAT number — we do not store card details); Marketing data (your communication preferences).

    3.2 Data from other sources — Prospect data: limited business-contact details (company name, business email, role) collected from public sources, business directories or data providers, to make relevant business-to-business approaches.

    3.3 Data we collect automatically — Usage data (pages visited, referring URL, browser, device, approximate location from IP); Cookie data (see Cookie Policy); Marketing data (Meta Pixel events where you consent to marketing cookies).

    5. Marketing communications

    We may send marketing where you have consented or where we have a legitimate interest in contacting a business about our services. Opt out any time via the unsubscribe link ormark@myorderwolf.com.

    6. Sharing your personal data

    We share data only with service providers (sub-processors), professional advisers, regulators, and successors in interest. We do not sell personal data. A current Sub-Processor List is available on request from mark@myorderwolf.com.

    7. International transfers

    We rely on adequacy decisions, the EU-US Data Privacy Framework, or Standard Contractual Clauses for transfers outside the EEA. We host data inside the EU wherever possible.

    8. Data retention

    Prospect enquiries: 24 months. Client records: 7 years. Invoicing: 7 years. Marketing data: until consent is withdrawn or after 24 months of inactivity.

    9. Your rights

    You may access, rectify, erase, restrict, object, and withdraw consent. You can lodge a complaint with the Data Protection Commission (Ireland) at dataprotection.ie, though we'd appreciate the chance to help first.

    10. Security

    We use appropriate technical and organisational measures. Security documentation is available on request from mark@myorderwolf.com.

    11. Children

    Our services are not directed at children under 16.

    12. Changes to this Policy

    We may update this Policy from time to time. Version 1.0 (draft).
